Duties & Responsibilities
Office Operations
- Assist with daily office tasks, including supplies, facility needs, filing, and vendor coordination.
- Provide general administrative support for staff (phones, scheduling, organizing materials).
- Help maintain organized records and follow established office processes.
Membership Services Support
- Greet visitors and assist with basic member inquiries (with staff supervision).
- Support staff with new member onboarding tasks.
- Learn how to update and maintain membership information in a CRM system.
Billing / Data Management
- Assist with processing payments and preparing simple invoices.
- Enter and update member information in the CRM with accuracy.
- Help run simple membership or billing reports.
- Learn basic bookkeeping workflows under the guidance of staff.
Event Preparation & Support
- Assist with pre-event planning, supply organization, and event advertising (Canva).
- Prepare event materials, signage, and attendance packets.
- Provide on-site event support, including check-in, setup, and tear-down.
Growth & Development Opportunities
Externs will receive exposure, training, and hands-on practice in:
- Nonprofit operations and member-based organizational structures
- CRM/data management
- Customer service and communication
- Event logistics
- Basic bookkeeping concepts
Required Qualifications
- Basic computer skills, including comfort with Microsoft Office (Excel, Word, Outlook).
- Strong attention to detail and willingness to learn new systems.
- Friendly communication style and customer-service mindset.
- Ability to stay organized while handling multiple tasks.
- Reliability, professionalism, and a positive attitude.
Preferred Qualifications
- Familiarity with QuickBooks Online or another bookkeeping tool.
- Experience in customer service, office administration, or data entry.
- Bilingual in Spanish and English.
- Interest in nonprofit work, membership organizations, or the building industry.
Work Environment
Primarily office-based with occasional opportunities to assist with event preparation or on-site logistics. Light lifting may be required for event materials.
Compensation
This is an unpaid externship.
It is intended for professional skill-building, résumé development, and hands-on learning in a real nonprofit environment.
